Terms & Conditions

These Terms & Conditions (“Agreement”) apply to all services provided by Mavis Visuals (“we”, “us”, “our”) to clients (“you”, “your”). By booking our services or using mavisvisuals.co.uk, you agree to the terms outlined below.


1. Services Provided

Mavis Visuals offers:

  • Wedding photography and videography

  • Drone videography (subject to weather and venue permissions)

  • Photo editing and video post-production

  • Online galleries, digital delivery, and optional USB delivery

  • Physical albums (if agreed in package)

Service specifics will be detailed in your written agreement or quote.


2. Booking & Payments

Booking

A booking is only confirmed once:

  • We receive a completed booking form or written confirmation

  • A non-refundable deposit (typically 30%) is paid

  • You receive written confirmation from us

Until then, dates remain available to other clients.

Payment Schedule

  • 30% deposit due at booking (non-refundable)

  • Remaining balance due 14 days before the event

  • Accepted payments: Bank transfer or any other method stated in our invoice

Late payment may result in cancellation or withholding of deliverables.


3. Cancellations & Refunds

By Client:

  • More than 60 days before the event: Full refund of any balance paid (deposit non-refundable)

  • Less than 60 days: 50% refund of any balance paid

  • Less than 14 days: No refund

  • Cancellations must be submitted in writing

By Mavis Visuals:

  • In the unlikely event we must cancel, we will:

    • Notify you as soon as possible

    • Offer a full refund (including deposit)

    • Assist in finding a suitable replacement if possible


4. Client Responsibilities

You agree to:

  • Provide accurate information when booking

  • Share key details in advance (locations, timelines, contacts)

  • Secure necessary permissions for photography/videography

  • Inform guests that photo/video will be captured

  • Ensure safe, respectful access for our team

  • Allow reasonable time and cooperation for posed or group shots

We are not responsible for delays or limited coverage due to lack of cooperation, unplanned changes, or venue restrictions.


5. Our Responsibilities

Mavis Visuals will:

  • Arrive on time and provide professional service

  • Use professional-grade cameras and equipment

  • Provide agreed deliverables within the specified timeframe

  • Maintain backups of files during editing

  • Respect your event and guests

In case of illness, emergency, or unforeseen events, we will try to provide a qualified replacement or issue a full refund.


6. Delivery & Format

Photography:

  • Edited photos delivered within 6–8 weeks via online gallery (unless stated otherwise)

  • Option to receive USB or prints (if agreed)

Videography:

  • Edited video (highlight film + optional full ceremony/speeches) delivered within 8–12 weeks

Timeframes may vary depending on season and complexity, but we will keep you updated throughout.


7. Image/Video Usage & Copyright

  • We retain copyright of all images and videos

  • You receive a non-exclusive, non-commercial license to print and share media for personal use

  • You may not edit, sell, or use for commercial purposes without written consent

Portfolio Use:

We may share select photos/videos on our website, social media, or marketing materials. We will always seek your written consent first, especially for private or sensitive content.


8. Limitations of Liability

We are not liable for:

  • Circumstances beyond our control (e.g. weather, guest interference, venue rules)

  • Missed shots due to guest movement, obstruction, or time constraints

  • Damage or loss of images due to technical failure (beyond our backup safeguards)

Our total liability is limited to the amount paid for the services.


9. Force Majeure

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to: acts of God, illness, accidents, government restrictions, natural disasters, or pandemics.

In such cases, we will work with you to reschedule or refund based on what has been delivered.


10. Governing Law

These terms are governed by and interpreted in accordance with the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
